1. Who we are
This Privacy Policy explains how ML Technology Solutions LLC ("MLTSL", "we", "us") collects, uses, and protects information through the MLTSL POS service. It applies to the businesses who sign up for MLTSL POS ("Customers") and, where relevant, to the end-customers of those businesses whose information a Customer stores in MLTSL POS (for example, a loyalty program member).
2. What we do not collect
MLTSL POS does not process card payments and does not store payment card numbers, card expiry dates, or CVV codes anywhere in the system. Any card or electronic payment you accept at your business is handled entirely by your own card processor or payment terminal, outside of MLTSL POS. We never see or store that data.
3. Information we collect
3.1 From the business (our Customer)
- Account details: business name, owner/admin name, email address, and password (stored by our authentication provider in hashed form — we never see your plaintext password).
- Business operational data you enter: items, prices, cost prices, categories, stock levels, stores, employees, roles and permissions, sales transactions, receipts, and reports.
- Billing-related information: the plan and add-ons you've selected and payment status (we do not store card numbers; see Section 2).
- If you choose to connect WooCommerce or another integration: the site URL and API credentials you provide for that connection, used only to sync your own store data.
3.2 About your end-customers (collected by you, stored on your behalf)
- Information you choose to enter about your own customers for loyalty, layaway, or gift card purposes — typically name, phone number, and/or email address, and their loyalty/credit balance or layaway status.
- We do not collect this information directly from your customers; you collect it from them as part of running your business, and store it in MLTSL POS as your processor (see Section 7).
3.3 Collected automatically
- Basic technical information needed to operate the service, such as sign-in timestamps and actions recorded in the audit log you can view in your own back office (for your own security and accountability — for example, who approved a price override).
4. How we use information
- To provide, operate, and maintain MLTSL POS (processing sales, syncing inventory, generating reports, sending receipts).
- To bill you for your subscription and add-ons.
- To send service-related communications (receipts to your customers when you choose to email them, account and billing notices to you).
- To provide customer support when you contact us.
- To maintain the security, integrity, and audit trail of the system (for example, logging manager approvals and price overrides).
We do not sell your data or your customers' data, and we do not use your business data to advertise to you or to third parties.
5. Who processes and stores the data (sub-processors)
| Service | Purpose | What it handles |
|---|---|---|
| Supabase | Database, authentication, and backend hosting | All account and business data described above |
| Resend | Transactional email delivery | Receipt emails and account notifications |
| Hostinger | Static web hosting | Delivers the MLTSL POS web application pages to your browser |
| WooCommerce / your website host | Optional integration, only if you connect it | Product, price, and order data you choose to sync, using credentials you provide |
Each of these providers processes data only as needed to deliver the function listed, under their own security practices.
6. Data retention and deletion
We retain your business data for as long as your account is active. If you cancel, we retain your data for a reasonable period to allow you to request an export, after which it may be permanently deleted. You may request deletion of your account and associated data at any time by contacting us, subject to any records we are legally required to retain (for example, for tax or accounting purposes).
7. Your role as data controller for your customers
Where you store your own customers' information in MLTSL POS (names, phone numbers, emails, loyalty or layaway balances), you are the data controller for that information under applicable data protection law, and MLTSL acts as your data processor — we store and process it only to provide the service to you, on your instructions. You are responsible for having a lawful basis to collect and store that information about your customers and for honoring any requests they make to you regarding their data.
8. Security
We rely on industry-standard practices including encrypted connections (HTTPS), role-based access control within your account, row-level data isolation between different businesses on the platform, and hashed password storage through our authentication provider. No system is completely secure, and we cannot guarantee absolute security, but we take reasonable steps to protect your data and will notify affected account owners if we become aware of a breach affecting their data, as required by applicable law.
9. International use — Trinidad and Tobago and the United States
MLTSL POS is currently offered to businesses located in Trinidad and Tobago and the United States. Data is stored with our infrastructure providers (see Section 5), which may be located outside the country where your business operates. By using MLTSL POS, you consent to this transfer and storage, which is necessary to provide the service to you. As we grow into other regions, this section will be updated to reflect any additional data protection obligations that apply.
10. Your rights
Depending on your location, you may have rights to access, correct, export, or request deletion of the personal information we hold about you as an account holder. You can exercise most of these directly from your own back office (viewing or editing your account and business data), or by contacting us using the details below.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify account owners by email or an in-app notice before the changes take effect.
